Purchasing Assistant / Warehouse Clerk (1st shift)

SUMMARY

The Purchasing Assistant / Warehouse Clerk supports the Supply Chain team through a combination of purchasing, inventory control, receiving, warehouse, and administrative responsibilities. This position serves as a critical link between procurement, inventory management, suppliers, production, and warehouse operations.

The ideal candidate is highly organized, detail-oriented, and capable of balancing administrative purchasing functions with hands-on warehouse support. This role assists with purchase order processing, inventory accuracy, material movement, receiving activities, and maintaining efficient supply chain operations while ensuring materials are available to support production and customer requirements.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Purchasing & Administrative Support

  • Create, process, and maintain purchase orders within the ERP system.
  • Assist buyers with supplier communications, order confirmations, and delivery follow-up.
  • Monitor open purchase orders and expedite deliveries when necessary.
  • Maintain purchasing records, supplier files, and procurement documentation.
  • Review requisitions for completeness and accuracy.
  • Coordinate with suppliers regarding order status, pricing, and shipment schedules.
  • Assist with supplier onboarding and vendor information maintenance.
  • Support inventory replenishment activities and purchasing initiatives.
  • Maintain accurate master data and item information within ERP systems.

Receiving & Inventory Control

  • Receive incoming materials and verify shipments against purchase orders and packing slips.
  • Inspect incoming materials for quantity, condition, and documentation accuracy.
  • Record receipts in ERP systems and maintain receiving records.
  • Investigate and report discrepancies involving quantities, damage, or incorrect shipments.
  • Assist with cycle counts and physical inventory activities.
  • Maintain inventory accuracy through proper transaction processing and material handling.
  • Support inventory organization and storage optimization efforts.

Warehouse Operations

  • Stock materials and supplies in designated warehouse locations.
  • Pick, stage, and distribute materials to production and internal departments.
  • Prepare materials for shipment or transfer between locations.
  • Operate material handling equipment as required and certified.
  • Maintain clean, organized, and safe warehouse and storage areas.
  • Follow all safety procedures and company policies related to warehouse operations.
  • Assist with packaging, labeling, and material identification activities.

Supply Chain Support

  • Coordinate material movement between suppliers, warehouse, and production departments.
  • Collaborate with Purchasing, Planning, Manufacturing, and Quality teams to support operational requirements.
  • Assist in identifying opportunities for inventory reduction, process improvements, and cost savings.
  • Generate reports and provide data to support purchasing and inventory decisions.
  • Support continuous improvement initiatives throughout the supply chain.

Additional Responsibilities

  • Maintain confidentiality of company and supplier information.
  • Support departmental projects and special assignments.
  • Perform other duties as assigned.

QUALIFICATIONS

  • Strong organizational and time management skills.
  • High attention to detail and accuracy.
  • Strong verbal and written communication skills.
  • Ability to work effectively with suppliers, customers, and employees at all levels.
  • Basic understanding of purchasing, inventory control, warehouse operations, or supply chain processes.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Strong problem-solving and analytical skills.
  • Ability to work independently and as part of a team.

EDUCATION AND EXPERIENCE

  • High School Diploma or GED required.
  • Associate degree in Business, Supply Chain, Logistics, or related field preferred.
  • 1–3 years of experience in purchasing, warehouse operations, inventory control, receiving, logistics, or manufacturing preferred.
  • Experience with ERP systems preferred.
  • Manufacturing environment experience is a plus.
  • Forklift certification or willingness to obtain certification preferred.

COMPUTER SKILLS

  • Microsoft Office Suite (Excel, Outlook, Word)
  • ERP/MRP systems experience preferred
  • Basic data entry and recordkeeping skills
  • Internet and business software applications

PHYSICAL REQUIREMENTS

  • Ability to stand, walk, bend, and lift throughout the workday.
  • Ability to lift and move materials up to 50 pounds.
  • Ability to safely operate warehouse equipment as required.

WORK ENVIRONMENT

Work is performed in both office and manufacturing/warehouse environments. Exposure to noise, moving equipment, and varying temperatures may occur within the warehouse and production areas.

WORK SCHEDULE

Full-time, Days, Monday through Friday. 8:00 AM - 4:00 PM.

COMPENSATION

$56,200 - $79,200 ($27.00 - $38.00 per hour) DOQ
